Do we need a studio or photo room?
No. The capture happens at each employee's own desk, kitchen counter, or wherever they have decent natural light. The platform walks them through framing and lighting on their phone or laptop camera. The brand-style enforcement happens at the platform level, so the output looks consistent regardless of where each photo was captured.
How does consistency work if everyone shoots from their own phone?
The brand standard is set once when you configure your Studio. Every approved photo runs through the same enhancement pipeline: background replacement to your brand backdrop, lighting and color correction, upscaling to print resolution, and consistent crop. The capture environment varies; the output doesn't.
Can the office manager run this without a photographer or designer?
Yes. Setup is about 10 minutes. The platform ships with default backgrounds and crops that look professional on any team page out of the box. If your brand needs specific styling (custom backdrop color, particular crop ratio), the admin configures that once in the Studio settings and every employee photo on the platform conforms automatically.
How long does a 30-person team rollout take?
Most small business rollouts complete within a week of sending the first invite. Setup is 10 minutes. Capture happens at each employee's own pace, usually within a few days. Approval runs in parallel as submissions come in. The traditional photographer model usually runs 6 to 12 weeks for the same scope.
What happens to credits if our headcount changes?
Credits don't expire. If you buy 35 credits to cover your current team plus expected new hires and hiring slows down, the credits stay in your account. If you grow faster than planned, top up at the same volume tier. No subscriptions, no minimums.
Can my team use their phones, or do they need a real camera?
Phones are fine. Modern smartphone cameras capture more than enough resolution for a professional team headshot once Scale's AI handles lighting correction, background removal, and upscaling. The capture interface walks each employee through framing on whatever camera they have, phone front camera, laptop webcam, or a real camera.
Do you provide brand-aligned styles by default, or do we configure them?
Both work. Scale ships with default backgrounds, color treatments, and crops that look professional on any team page out of the box. If your brand needs specific styling (custom backdrop hex, particular crop ratio, brand-aligned color grade), the admin sets that once in the Studio configuration and every company headshot automatically conforms.
What if someone leaves the team after we've paid for their headshot?
Nothing changes. The credit was spent on the approved headshot; the photo file stays in your workspace for as long as you want. New hires don't reuse old credits; they get their own. The workspace is yours, not the individual employee's.
How is this different from AI headshot generators?
Scale works with real photos captured by your team. The AI handles enhancement (background, lighting, color, upscaling, brand-style enforcement). The output is a photo of the person, the way they actually look. AI edited, not generated. AI generators (the BetterPic / HeadshotPro category) train a model on selfies and produce a synthetic image that's stylistically close to the person but isn't actually them. For company headshots that go on your website, in directories, and on LinkedIn, the trust signal of a real photo matters.
How is employee photo data stored and protected?
Photos are transferred over TLS and stored on Scale's cloud providers (Linode and Google Cloud Platform), which provide default encryption at rest. Customer-account access is controlled by the admin team you designate. Scale Headshots is operated by Helium Development LLC; the operator's broader security posture, including the subprocessor list, is documented at heliumdev.com/security.
