How does Scale handle continuous new-hire onboarding?
The new-hire inconsistency is the most common reason teams come to Scale. You finally get the About Us page looking perfect, then you hire three more people and the lighting from six months ago can't be recreated. With Scale, when a new employee joins, you send them the same invite link your existing team got. The Studio settings already match what everyone else captured against, so their headshot exports in the same brand style, drops into the same approval queue, and goes live in the same formats. Credits never expire, so you can roll out across a year of hiring without losing what you bought up front.
Can different departments or offices have different settings?
Yes. You can run multiple Studios under one account, each with its own background, style, and approval workflow. Common patterns: a Leadership Studio with a more editorial style for executives, a Sales Studio with a sharper crop for outbound use, a Default Studio for everyone else.
How do you keep headshots consistent when employees are in different offices and time zones?
The brand style is enforced at the platform level, not at the photographer level. Your background, color treatment, and crop are set once when the admin configures the Studio, and every approved photo runs through the same enhancement pipeline regardless of where the employee captured it. Denver, Amsterdam, or a kitchen counter, the output is the same.
Can our HR or marketing team review headshots before they go live?
Yes. The admin dashboard shows every submission as it lands. You can approve, request a retake, or hand off review to a department lead. Up to 5 retakes per credit are included, so quality control doesn't cost extra.
How long does a 500-person rollout take?
Most growing teams complete a full refresh within 1 to 3 weeks of sending the first invite. Setup is about 10 minutes. Capture happens at each employee's own pace, usually within a few days of the invite. Approval runs in parallel as submissions come in. Compare that to 8-16 weeks for a traditional photographer model.
What happens to credits if our headcount changes?
Credits don't expire. If you buy 600 credits to cover your current team plus a year of expected hires and your hiring slows down, the credits stay in your account. If your team grows faster than planned, you top up at the same volume tier you bought into.
Can we integrate headshot delivery into our HRIS or onboarding workflow, and how is the data handled?
Yes. Scale's REST API and webhooks let you push approved headshots into HRIS systems (BambooHR, Rippling, Workday), badge printing pipelines, intranet directories, and onboarding flows. Photos are transferred over TLS and stored on Scale's cloud providers (Linode and Google Cloud Platform), which provide default encryption at rest. Customer-account access is controlled by the admin team you designate. Scale Headshots is operated by Helium Development LLC; the operator's broader security posture, including the subprocessor list, is documented at heliumdev.com/security. For organizations with specific InfoSec requirements (additional certifications, BAAs, regional data residency), sales will scope answers to your team's review questions.
How is this different from AI headshot generators?
Scale works with real photos captured by your employees. The AI handles enhancement: background, lighting, color, upscaling. The output is a genuine photo of a real person, the way they actually look. AI generators (the BetterPic / HeadshotPro category) train a model on selfies and produce a synthetic image that's stylistically close to the person but isn't actually them. For employee headshots that go on your website, in directories, and on badges, the trust signal of a real photo matters.
Can my employees use their phones, or do they need a real camera?
Phones are fine. Modern smartphone cameras capture more than enough resolution for a professional employee headshot once Scale's AI handles lighting correction, background removal, and upscaling. The capture interface walks each employee through framing and lighting on whatever camera they have, whether that's a laptop webcam, a phone front camera, or a real camera tethered to a desktop.
Do you provide brand-aligned headshot styles by default, or do we configure them?
Both work. Scale ships with default backgrounds, color treatments, and crops that look professional on any team page out of the box. If your brand needs specific styling (custom backdrop hex, particular crop ratio, brand-aligned color grade), the admin sets that once in the Studio configuration and every employee headshot on the platform automatically conforms to it.
